The National Arts Council of South Africa requires professional services to upgrade and migrate seven (7) production virtual machines currently running Microsoft Windows Server 2012 to Windows Server 2025, and supply ten (10) Microsoft Windows 11 Pro licenses. The project scope includes full discovery and assessment of the existing server environment (hostname, IP addressing, operating systems, roles, features, applications, storage, user dependencies, backup/disaster recovery requirements, and licensing verification); design and migration planning (migration strategy, implementation plan, detailed runbook, risk identification and mitigation, sequencing, and rollback procedures); server build and configuration (deployment, role and service configuration, security hardening, monitoring, and compatibility validation); migration of production workloads including Active Directory, DNS, DHCP, file shares, group policies, application services, and databases with minimal downtime during an agreed maintenance window; testing and validation (functional testing, user acceptance testing, performance and availability validation, backup/restore testing); and decommissioning of legacy servers with secure data disposal. Deliverables include current state assessment report, detailed migration plan and project schedule, server build documentation, migration execution report, testing and validation report, updated infrastructure documentation, knowledge transfer session, license documentation, and final project closure report. The successful bidder must also provide minimum 30 days post-implementation support. Project completion is required within 8 to 12 weeks from appointment. Licenses must be genuine, sourced through authorized Microsoft channels, include proof of entitlement, support activation on existing organizational endpoints, and be transferable to NAC equipment per Microsoft licensing terms.
