Legal Aid South Africa seeks a qualified service provider to supply, implement, and support a cloud-based smart document generation software solution for 470–2600 users over two years, with integration to existing K2/SharePoint systems.

What you need to qualify for this tender
- • Company profile with experience in similar document generation projects and completed project list
- • CV and qualifications of Project Manager
- • CV and qualifications/certifications of installation technical resources with valid certifications/licences
- • Detailed Project Implementation Plan with Work Breakdown Structure (WBS), Resource Allocation, Timelines, and Risk Assessment for six (6) months operational readiness
- • At least two (2) signed reference letters from previous/current clients dated within three (3) years of tender closure, detailing smart document generation work completed
- • Detailed Service Level Agreement (SLA) covering response times and cloud support
- • Proposed solution architecture and functionality documentation
- • At least one person in content development team with recognised legal qualification
- • Preliminary timeline/project plan for template development and conversion within six months
- • Detailed costing for simple and complex document automation
- • Security and integrity details covering data encryption (in transit and at rest), role-based access control, multi-factor authentication (MFA), and user access reporting
- • Confirmation that data centre is resident within South Africa (RSA)
- • Details on licensing model (per user or concurrent users) and all associated fees (hosting, maintenance, warranty, subscription)
- • Disaster recovery management plan
- • Online training capability for Legal Aid SA staff
- • Technical support team with API and SQL skills available 08h00–17h00
